EclipseCon 2012 Sponsor Prospectus

Welcome to the EclipseCon 2012 sponsor prospectus page. This is the eighth year for EclipseCon North America, and it brings some exciting changes – including a move to the east coast of the U.S. and a new co-located conference called Agile ALM Connect.

The information below describes the basics. We have other options available, and we would like to hear your ideas. Please contact us to discuss unique sponsorship opportunities at EclipseCon 2012.

Conference at a Glance

EclipseCon is a premium technology conference with a vibrant and welcoming atmosphere. It is four-day annual gathering of organizations and individuals producing and using Eclipse technology. The typical EclipseCon attendee is an experienced software developer or architect; about one-quarter of EclipseCon attendees are in a leadership position within their organizations. We expect 800 attendees at this year's event.

  • March 26 - 29, 2012
  • Venue is the Hyatt Regency Reston, outside Washington, D.C., minutes away from Dulles International Airport
  • Integrated Exhibit Area located close to sessions, receptions, and high-traffic areas
  • Two additional co-located conferences: Agile ALM Connect and OSGi DevCon
  • A full day of tutorials on Monday, March 26
  • Three days of technical sessions, Tuesday, March 27 - Thursday, March 29
  • Two receptions, including an Exhibitors Reception on Tuesday evening
  • Birds of a Feather sessions Monday through Wednesday evenings
  • Keynote talks on Tuesday, Wednesday, and Thursday

How to Sign Up

After reviewing this prospectus, go to our agreement page to see the floor plan and download a sponsor agreement form. Note that display locations and other items are first-come, first served, so don't delay! If you have any questions, please contact us.

Packages and Pricing

All sponsor packages (except Media sponsor) include a table-top display space, similar to the drawing below, with these items:

  • Skirted table, 8 feet wide x 24inches deep x 42 inches high
  • Pin board, 8 feet wide x 4 feet high
  • Stem/clip light affixed to top of pin board (supplied only to sponsors using standard table-top display)
  • ID sign with sponsor name, 44 inches wide x 7 inches high
  • Bar stool (1)
  • Wastebasket
  • Power strip
  • WiFi

All sponsors may substitute their own display that meets the size specifications for their exhibit space. The exhibit space varies with the type of sponsor; be sure to contact us for details about supplying your own display. Additional items may be ordered from the decorator; information about these will be available by February 1.

Bronze Sponsor Package

  • Logo in printed program and on the conference website
  • One (1) All-Access pass (includes tutorials, all sessions, all areas, meals, and evening receptions)
  • One (1) Exhibits Only pass (includes access to Exhibit Area and evening receptions only)
  • Access to add-ons beginning December 1, 2011
  • A 20% discount when purchasing add-ons
  • Price: $5,000 for members and alumni sponsors; $6,000 for others

Silver Sponsor Package

All of the features of the Bronze Package, with these additions or substitutions:

  • A quarter-page company description in the printed program
  • A total of two (2) All-Access passes
  • A total of two (2) Exhibits Only passes
  • One (1) Sponsored Talk scheduled into the technical program
  • Earlier access to add-ons - beginning November 1, 2011
  • A 30% discount when purchasing add-ons
  • A 10% discount when purchasing All-Access passes - limit five (5) passes
  • Price: $9,500 for members and alumni sponsors; $11,500 for others

Gold Sponsor Package

All of the features of the Silver Package, with these additions or substitutions:

  • A half-page company description in the conference program
  • A total of four (4) All-Access passes
  • A total of four (4) Exhibits Only passes
  • Two (2) Sponsored Talks scheduled into the technical program; two Sponsored Talks may be traded for one (1) Monday Sponsored Tutorial
  • Earlier access to add-ons - beginning October 1, 2011
  • A medium-size ad in a pre-event newsletter sent to all attendees
  • $2,500 in Add-on Bucks (used to purchase full-price add-ons)
  • A 40% discount when purchasing add-ons
  • A 20% discount when purchasing All-Access passes - limit ten (10) passes
  • An opportunity to present one (1) evening Sponsored BoF
  • Price: $14,500 for members and alumni sponsors; $19,500 for others

Platinum Sponsor Package

Platinum sponsorships are limited to two, and include a larger exhibit space, approximately 20 feet wide x 5 feet deep. The Platinum package includes all of the features of the Gold Package, with these additions or substitutions:

  • A full-page company description in the conference program
  • A total of eight (8) All-Access passes
  • A total or eight (8) Exhibits Only passes
  • Four (4) Sponsored Talks scheduled into the technical program; two Sponsored Talks may be traded for one (1) Monday Sponsored Tutorial
  • Immediate access to add-ons
  • A large-size ad in a pre-event newsletter sent to all attendees
  • $5,000 in Add-on Bucks (used to purchase full-price add-ons)
  • A 50% discount when purchasing add-ons
  • A 30% discount when purchasing All-Access passes - limit fifteen (15) passes
  • An opportunity to present two (2) evening Sponsored BoFs; the two sessions may be combined into one BoF/Reception, with catering and incidental costs paid by the sponsor
  • Price: $22,500 for members and alumni sponsors; $29,500 for others

Media Sponsor Package

Media sponsors help us promote EclipseCon in exchange for the benefits below. Please contact us if you would like to be a Media sponsor. Note that acceptance as a Media sponsor is contingent on our evaluation of your promotion plan and our determination and there is sufficient value to both parties.

  • Logo in printed program and on the conference website
  • For print media, opportunity to display materials at the conference or provide materials to conference attendees

Add-on Options

All add-on options are first-come, first-served. Members and alumni sponsors receive an additional 10% discount on add-ons. Add-on Bucks (Platinum, Gold, and Silver sponsors only) are applied to non-discounted add-on prices. Note: the program has gone to print so the print add-ons are no longer available.

  • Lanyard sponsor (shared; three one available) - your company's name adorning attendees! $2,000 each (deadline for this add-on is January 31, 2012)
  • Video sponsor (exclusive): $4,000 - prominent display of logo included with online videos of conference sessions available after the conference; alternatively, this sponsorship may be shared by up to three sponsors for $2,000 each
  • Reception sponsor (one per day, two one available): $4,000 - prominent signage at reception and acknowledgement in program
  • Lunch sponsor (one per day, four one available): $2,000 - prominent signage at lunch and acknowledgement in program
  • Cover page ad in program (three two available): $2,000 - full-page color ad on inside front cover or inside back cover of conference program
  • Full-page ad in program: $1,000 - full-page black-and-white ad in conference program
  • Half-page ad in program: $500 - half-page black-and-white ad in conference program
  • Large newsletter ad in one pre-event newsletter: $2,000 - large size color ad (425 x 250 pixels) in high-quality newsletter emailed to all attendees before the event
  • Medium newsletter ad in one pre-event newsletter: $1,000 - medium size color ad (250 x 250 pixels) in high-quality newsletter emailed to all attendees before the event
  • Lounge sponsor (one per day, four available): $500 plus catering costs - the Lounge has the most comfortable chairs around, along with power and delicious caffeinated beverages! Includes prominent signage in Lounge and acknowledgement in program.

Sponsored Talks

  • Sponsored talks are 35 minutes long (the same length as standard talks)
  • We strongly urge you to make the content technical and ideally not product specific; based on past experience, product pitches are not well received or attended by EclipseCon attendees
  • Talks are submitted via the online submission system using the form on this page; please be sure to select "Sponsored" as the Session Type when submitting
  • To submit a talk, you must have an account on the EclipseCon website (to create one, click on "Sign In" on the home page); if you already have a Bugzilla account at Eclipse, please use it rather than creating a new one, since our system will associate your conference website account with your existing Bugzilla account
  • In open-source style, our submission system is optimized for speakers to have their own accounts and submit their own talks; we encourage speakers to be active contributors and communicators on our website
  • If you proposed a non-sponsored talk that was declined, and you would like to use the same proposal for your sponsored talk, please create a new submission on this page; editing your declined talk submission will not re-submit your declined talk as a sponsored session
  • The deadline for submitting talks is Friday, January 20
  • We have a limited number of slots held for sponsors who sign up after January 20; please email us for more information about this
  • Platinum and Gold sponsors may substitute one Monday sponsored tutorial for two sponsored talks; we have a limited number of tutorial slots available, so please email us right away if you would like to use this option
  • Talks will be scheduled into the program by February 3
  • We will review your talk submission and email the speaker if we need to discuss the talk content, abstract, etc.
  • We will notify the speaker when the talk has been accepted and scheduled into the program
  • If you have any questions about the submission process or your sponsored talk, please email us

Important Dates

  • Deadline for submitting sponsored talks (Platinum, Gold, and Silver sponsors only): January 20
  • Deadline for conference program ads: January 31
  • Deadline for logo and other materials for conference program: January 31
  • Deadline for newsletter ads: March 1
